Instant Pot, Bosch Dryer, and the Real Reason Appliances Keep Breaking at Work

An office administrator for a 110-person hospitality group shares why good appliances kept failing—from an Instant Pot in the employee canteen to a Bosch Series 6 tumble dryer—and the duty-cycle mistake hiding behind it.

Nine service calls across six appliances in fourteen months. That's the number that stopped me in early 2024, staring at our maintenance log as if the spreadsheet were lying to me. Every machine on that list was a recognizable brand. Nothing was the cheapest option in its category. And yet, week after week, something in our employee facilities was down: the rice cooker that couldn't survive a lunch rush, a dryer that kept shutting itself off, a front-load washer that shook hard enough to walk across the floor.

Quick context before I go further. I'm the office administrator for a hospitality group with about 110 employees across three locations. When I took over purchasing in 2021, I got responsibility for everything from kitchen equipment and break-room appliances to the washers and dryers we run for staff uniforms and linens. It works out to roughly $180,000 a year across 12 to 15 vendors, and I report to both operations and finance. I'm not an appliance engineer. I'm just the person who signs for the equipment and then has to explain why it stopped working.

For a long time, I blamed bad luck. Then I blamed the appliances. It took me until last year to realize I was blaming the wrong thing.

The equipment wasn't failing. My expectations were.

Take the Instant Pot saga. We bought two six-quart units for the employee canteen in 2022, because the staff meal rotation had gotten boring and the cooks wanted something versatile. Honestly, it delivered. “Instant Pot hot dogs” became a running joke—stacks of hot dogs ready for a crew lunch without anyone standing over a pot. Our fall rotation also ran on a cauliflower soup Instant Pot recipe that one of the line cooks found and taped to the cabinet; it produced a huge batch with almost no babysitting.

The Instant Pots did not explode, melt, or die dramatically. The problem was sneakier. Once people trusted them, they started asking the machines to do more than they were designed to do—back-to-back batches of soup for several days straight, rice for fifty people when the big tilt skillet was down. The seals started losing steam. Batches took longer. One unit tripped its internal safety during a double batch of stock. We'd bought a home appliance and slowly turned it into a workhorse. It wasn't built for that.

(Quick note for anyone in food service: we used those units in the employee canteen, not on the guest cookline. A consumer appliance like an Instant Pot has no place in a licensed commercial kitchen. Which, in hindsight, should have told me something about the rest of my purchasing.)

The laundry room ran the same play. We bought a Bosch Series 6 tumble dryer—a serious piece of home equipment, and a brand our facilities manager trusted. Alongside it sat a large front-load washer. Both were well-reviewed. Both were expensive. And both choked on the actual workload: ten or more loads a day whenever the hotel side of our business was busy.

At one point a repair tech asked me a question that sounded almost too basic to answer: “How full can a front load washer be?” He wasn't being condescending. He was trying to figure out why the drum bearings were making noise. The answer—loosely loaded, never packed past about three-quarters full—was in the manual we'd filed away. We'd been stuffing it past capacity for months. The machine wasn't defective. We were using it wrong.

I still kick myself when I think about that conversation. The whole time I'd been telling myself we invested in quality, we did our research, we bought good brands. All of that was true. None of it mattered, because I was asking the wrong question from the start.

Why expensive things break in workplaces: it's not what you think

The question I should have been asking wasn't “which brand is best?” It was “what class of equipment does this workload actually require?”

Every appliance is built for a duty cycle—basically, how often and how long it can run at rated load before it needs to rest. A residential washer or dryer is designed for a handful of loads a day, not twelve. A countertop multi-cooker is designed for one or two cooking events a day, not continuous batches from breakfast through dinner. The appliance doesn't become a bad product when you exceed that. It just runs past its design limits until something gives. The problem shows up as a broken machine, but the real failure happened the day someone decided a home-grade product could handle a workplace schedule.

Here's what makes this trap so nasty: almost nothing in the shopping process tells you about duty cycle. Reviews talk about how well a thing works in a normal home. Marketing photos show happy families, not a staff canteen running back-to-back soup batches. You have to dig into spec sheets and manuals to find the limits, and even then the language is cautious—phrases like “not for commercial use” or “intermittent duty.” I learned this in 2023, when we replaced a $280 rice cooker that died after four months of lunch service. It wasn't a quality failure. It was a mismatch. We needed something rated for continuous operation, which is what a professional rice cooker actually is. That's why the commercial equipment dealer tried to sell us one in the first place. I thought he was upselling me. He was saving me from myself.

Let me be fair to my past self, though. The upfront savings felt real. The residential washer and dryer pair cost about $2,800 less than the light-commercial setup. The risk was breakdowns, and I honestly convinced myself that risk wouldn't materialize. It materialized in month four.

Do not make the mistake I made. “Professional-grade” isn't a marketing tag. It usually means the unit is tested to run for longer periods, handle bigger batches, and survive the abuse of people who aren't gentle with equipment. That costs more. It is supposed to cost more.

What the mismatch actually cost us

Let me put some real numbers on this, because “bad luck” and “planned obsolescence” are convenient excuses, and I used both.

In 2024, finance pulled a report on our small-appliance and laundry repair spend. The total for that year: about $2,840 in service calls and replacement parts on equipment that had cost us roughly $2,100 new. That doesn't include the labor hours spent waiting for repair techs, or the taxi receipts from sending staff to a laundromat when the dryer went down before a big event.

The softer costs were worse. When the washer was out for ten days, housekeeping had to hand-deliver clean linens from a sister property. When the rice cooker died mid-service, the kitchen had to boil rice in two big stockpots—which, no offense to my favorite line cooks, was not their best work. The quality of what our guests experienced dipped, even though the problem had nothing to do with food quality or service standards. This is the part I wish more buyers understood: the equipment failure doesn't stay in the equipment room. It leaks out into the customer's impression of your operation. Nobody sees your purchase order or your repair invoice. They just see the delay, the substitute dish, or the slightly apologetic tone in a server's voice. That is your brand, taking a small hit it didn't deserve.

And then there was the accounting hassle. I still remember trying to explain to finance why we'd paid $410 for a repair on a dryer we'd owned for fourteen months. When I pushed back on the vendor, they pointed out—correctly—that our usage exceeded the product's intended duty cycle. I had no comeback. They had it in writing. I didn't.

What I'd do differently (and what I actually did)

By mid-2024, we changed the way we buy. It's not glamorous, and it's not a secret trick. We just started asking one question before anything else: how many hours per day, or how many cycles per day, will this thing actually run?

  • If an appliance will run for more than a few hours a day, or through a predictable peak period, it belongs in the commercial or continuous-duty category. That's where the professional rice cooker entered our kitchen—not as a luxury, but as the minimum viable tool for lunch service.
  • If it runs occasionally—a few times a week, for a small group—a good residential appliance is fine. We still use the Instant Pots for exactly what they're good at: staff meals, big batches of soup like that cauliflower number, and the famous hot-dog trick.
  • When the machine comes with a documented loading limit—which most washers and dryers do—we write it on a label and put it where people can actually see it. The front-load washer, by the way, should be loaded loose, no more than about three-quarters full. That one detail ended our bearing problems.

I know this sounds basic, and honestly, it is. That's what embarrassed me the most. None of the information was hidden. The manuals were in a binder. The dealer explained the duty rating the day he quoted us the commercial machine. I was so focused on brand reputation and getting a good price that I skipped the part where you figure out what the equipment is actually for.

One more thing before you apply this to your own operation: our situation involved a workplace that runs appliances daily, sometimes all day. If you're buying an Instant Pot for a small office where it'll get used twice a month, buy the consumer model and don't overthink it. Your mileage may vary, and the calculus is different for every building. But if you're buying for a team that will depend on the equipment, do not buy the “best” product. Buy the right class of product, and let the brand argument happen after that.

The next time an appliance lets us down, I'll check the repair log before I blame the manufacturer. I have a feeling I won't need to apologize as often.
